A Little More About The Job:
We’re looking for an Administrative Assistant who works on-site in Gravie’s Minneapolis based office to support leaders of our executive team. This person will play a key role in coordination and communication for these executives. This role requires an individual with considerable judgement, initiative, and the ability to prioritize in a fast-paced environment.
You Will:
· Manage calendar/meetings/contacts and provide administrative support to executive team.
· Arrange business travel and submit expense reports, as needed.
· Schedule, coordinate and prepare executive team meetings.
· Collect and organize data for various executive team members, including contract filings within our contract management system.
· Project manage various executive team projects.
· Ensure Executive Conference Room is stocked and ready for daily meetings.
· Serve as a backup to the Office Manager. These periodic duties include greeting and routing visitors at reception, overseeing incoming and outgoing deliveries, managing the phones, and stocking the Café area with beverages and snacks.
· Coordinate scheduling and administrative duties for the Risk Solution Insurance Company (RSIC) quarterly Board meeting.
· Support different Gravie business initiatives with other departments as needed.
· Handle private and sensitive information with the strictest sense of confidentiality.
· Demonstrate commitment to our core competencies of being authentic, curious, creative, empathetic and outcome oriented.
You Bring:
· Bachelor’s or Associate’s Degree, or equivalent certificates and experiences
· Three or more years of experience in administrative support
· Extraordinary organizational skills and attention to detail
· Exceptional verbal and written communication skills
· Proactive mindset
· Ability to prioritize and handle multiple tasks and responsibilities in a timely, accurate and efficient manner
· Confidence and willingness to make people feel welcome at Gravie, communicate effectively and positively to different groups
· Tech savvy, including proficiency with Mac computers, Google tools, and Microsoft Excel, PowerPoint and Word
· Ability to work in a fast-paced environment
